SUMMARY: Perform secretarial support for Director of Business and Industry Services at Eastern Oklahoma County Technology Center in accordance with the following duties.
ESSENTIAL DUTIES AND RESPONSIBILITIES: include the following. Other duties may be assigned.
- Answer telephone to provide information, take messages, or transfer calls.
- Assist coordinators to schedule BIS training and classes. To include: checking for class availability in the school calendar program, scheduling classrooms for training, making class folders for beginning training, etc.
- Assist in preparation of mail outs as needed.
- Assist with enrollment for ACD and BIS classes.
- Verify enrollment information of students.
- Call students to inform them of class cancellations.
- Compile reports and requested to include quarterly PEF report.
- Assist with developing BIS training brochures, flyers, class schedules, and any other BIS or Fire Training related literature.
- Develop and maintain a position book that lists all duties for your position with step-by-step instructions.
- Enroll students and input student information update using student account software.
- File and maintain current archived records.
- Greet visitors to the school; determine nature of business, and direct visitors to destination.
- Maintain department calendar of program events.
- Maintain Staff calendars.
- Make certificates for all instructors at the completion of their classes, if applicable
- Make class folders for each class.
- Orders supplies.
- Perform inventory control for department books and supplies.
- Provide general information about classes and programs.
- Research information for transcripts which will be given to Registrar for issuance of transcripts.
- Set up/close out classes in student accounting software.
- Type and copy materials as needed by ACD instructors to include typing information for ACD brochure and other forms of marketing materials; proofreading ACD brochure and other marketing materials.

- Education/Experience: High school diploma or general education degree (GED); or one to three years related experience and/or training; or equivalent combination of education and experience. Microsoft Office training in the very minimum of the following: Word, PowerPoint, Excel, Outlook, and Access
- Language Skills: Ability to read and comprehend simple instructions, short correspondence, and memos. Ability to write simple correspondence. Ability to effectively present information in one-on-one and small group situations to customers, clients, and other employees of the organization.
- Mathematical Skills: Ability to add, subtract, multiply, and divide in all units of measure, using whole numbers, common fractions, and decimals. Ability to compute rate, ratio, and percent and to draw and interpret bar graphs.
- Reasoning Ability: Ability to apply common sense understanding to carry out instructions furnished in written, oral, or diagram form. Ability to deal with problems involving several concrete variables in standardized situations.
